Receptionist Urgently Needed at Coca-Cola Beverages South Africa

 


Job Description

  • Coca-Cola Beverages South Africa (CCBSA) has an exciting opportunity within the Head Office space. We are looking for a talented individual with relevant skills and experience as a Receptionist, based in Midrand. The successful candidate will report directly to the PA of the PAC Director.
  •  To operate the switchboard, attend to front desk visitors and provide administration support.

Key Duties & Responsibilities

  • · Manage General Administration for the site.
  •  · Operate the switchboard & switchboard system to ensure professional internal and external public relations service at all times. 
  • · Proper screening of calls and transferring of call to the appropriate person/department. Never give out Directors cell phone nos.
  •  · Attend to internal & external visitors in a focused business and hospitable way, while observing security procedures. 
  • · Provide administration support by recording and giving messages accurately. 
  • · Attend to management requests in respect of long distance and sometimes international calls. PA to PAC & HR Director Receptionist
  •  · Provide administration support to internal customers related to telephone problems and new lines. 
  • · Handle and ensure internal and external post is distributed to the correct recipients. 
  • · Ensure adequate housekeeping of meeting rooms and boardrooms; 
  • · Manage meeting facilities and ensure that rooms are efficiently equipped with relevant resources. 
  • · Facilitate orders for boardroom supplies and stationery when required.
  •  · Creation of PO’s for the site 

KEY ATTRIBUTES AND COMPETENCIES 
  • · Ability to work in a pressurized environment and to ensure minimum switchboard downtime.
  •  · A pleasant verbal ability, communication skills and self-confidence. 
  • · Manage call capacity to ensure no calls are dropped. Professional telephone techniques, etiquette and interpersonal skills. 
  • · Good administration and PC skills. 
  • · Diplomacy in respect of complaining customers. 
  • · Punctuality vital. 
  • · Highly presentable/ Professional groomed at all times. 
  • · Must be a high motivated individual who is the face of the company. 
  • · Must understand and be willing to develop by learning new regions/sites and assist in an efficient manner. Get to know CCBA address, CCSA, PE address or main site receptions etc. Understand we are bottlers and direct Coca-Cola queries to Parktown.
  •  · Take an interest in understanding who VIP customers are and protocol would be in terms of receiving them. 
  • · Must take pride in managing the boardrooms on site and keeping them in good standard at all times. Stocking up flipcharts , white board markers, batteries for remotes - for the venues?
  •  · Must take pride and “own the space” in reception. Take pride in the fridges, ensure they are always stocked. 
  • · Customer complaints are critical, ensure they are addressed.

Skills, Experience & Education

QUALIFICATIONS / EXPERIENCE ·
  •  Computer skills on MS Word, Excel & Outlook 
  • · SAP User knowledge will be advantageous 
  • · A grade 12 qualification 
  • · A receptionist or similar qualification 
  • · At least 3 year’s receptionist and/or similar experience
