**Description:**
We are currently seeking an experienced and highly organized Executive Personal Assistant to manage business administration and project support functions within the office of the Chief Officer: Mergers & Acquisitions and Business Development.
**Key Responsibilities:**
1. **Administrative Support:**
- Manage real-time email correspondence and prioritize messages.
- Screen telephone calls and manage messages for the Chief Officer.
- Coordinate guest reception.
- Arrange appointments, meetings, and conferences for the Chief Officer.
- Review, proofread, and edit documents for the Chief Officer’s signature.
- Ensure the Chief Officer is well-prepared for meetings by providing necessary documentation ahead of time.
- Monitor and ensure timely submission of documents for governance forums and deadlines.
- Develop and maintain office management systems, including data management and filing.
- Provide administrative support during meetings, including accurate minute-taking.
- Compile and/or consolidate documents for various submissions, including Board agenda items and Audit Committees.
- Ensure diary synchronization to accommodate all meetings through consultation with the Chief Officer or Management Executive (ME).
2. **Budget and Expense Management:**
- Assist the Chief Officer with OPEX and CAPEX budget administration for their cost center.
- Check and prepare expenditure documentation in accordance with policies and procedures.
- Collect tax invoices and receipts for payment purposes.
- Reconcile and file all expenses for the Chief Officer in accordance with credit card statements.
- Process reconciliations, payments, expense reports, and budget transfers within specified turnaround times.
3. **Travel Management:**
- Manage all local and international travel arrangements.
- Prepare itineraries for the Chief Officer’s trips.
- Handle all travel logistics, including visa applications, hotel bookings, flight arrangements, and meeting scheduling.
4. **Event Management:**
- Organize events hosted by the Chief Officer’s office, including functions, conferences, workshops, and seminars.
- Coordinate logistical arrangements such as venue booking, speaker confirmation, delegate attendance, agenda preparation, and presentation development.
- Source promotional items and branded gifts as needed.
**Ideal Candidate Profile:**
**Qualifications:**
- Matric certificate.
- Secretarial Certificate/Diploma essential.
- Minimum of 5+ years of secretarial experience, including at least 1 year as a PA supporting an ME or above in a listed company.
- Project management experience.
**Job Knowledge:**
- Advanced proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint, Microsoft Project) and Internet usage.
- Knowledge of office management procedures.
- Familiarity with the IT/Telecommunications environment (advantageous).
- Experience in financial administration.
- Knowledge of SAP EVO (advantageous).
- Project management and coordination skills.
